15 Steps to Accreditation
Accreditation Process
Thank you for your interest regarding EHFA accreditation and how to become an EHFA accredited training organisation. Outlined below is an explanation of how to become accredited - this will guide you through the accreditation process.
Step 1: Please complete and submit the EHFA Application Form to register your interest
Step 2: Download the Accreditation Process Documents (EAD 01), the Mapping Documents (MAP 02 and MAP 03), the Assessment Strategy (EAD 03), the Assessment/Quality Assurance Resource (EAD 02) and the Terms & Conditions (EAD 04).
Step 3: Please review all documentation to familiarize yourself with the requirements for becoming an accredited training provider
Step 4: You are then required to review the relevant mapping documents (MAP 02 and MAP 03) to establish whether your qualifications align fully to the EHFA standards for Fitness Room Instructor, Group Fitness Instructor, Aqua Fitness Instructor and/or Personal Trainer. You should ensure that programme delivery and assessment both map to the relevant EHFA learning outcomes and competencies
Step 5: We anticipate that the review of the EHFA mapping documents will take you approximately 7 – 40 hours, depending on how many qualifications you wish to map against the EHFA standards and competencies
Step 6: Once you have reviewed the mapping documents, please complete the EHFA Accreditation Process Document (EAD 01) and submit this completed document along with a brief programme overview/syllabus for the qualifications that you wish to gain accreditation for. The programme overview/syllabus will help us to identify how your programme meets the EHFA standards and you should arrange for this document to be translated into English before it is submitted
Step 7: You should also submit copies of your practical assessment documentation with your submission – these documents should also be translated into English and will be reviewed along with the programme overview/syllabus as part of your initial application. All information provided will be treated with complete confidentiality.
Step 8: The initial accreditation fee of €900 is required on submission of the Accreditation Process Document (EAD 01), your programme overview/syllabus and your practical assessment documentation
Step 9: EHFA will acknowledge receipt of your application within 7 days. Evaluators will review the submission and will check the programme overview/syllabus and practical assessment documentation against the relevant EHFA standards and competencies to ensure that these align effectively. The submission review will take place with 21 days from receipt of documentation
Step 10: Once the submission has been reviewed, EHFA will contact you to arrange a date for the accreditation visit. The evaluator will sample live practical assessment on the visit so the visit date must coincide with practical assessments. The accreditation visit will take 3 days and will be carried out by 1 evaluator. The fee for the visit is €900 per day, per evaluator, so the total fee for the visit is €2,700 plus travel and accommodation expenses
Step 11: On the accreditation visit, you will need to provide all programme delivery and assessment documentation as the evaluator will sample all of the documentation, as well as live practical assessment. You will be required to identify which documents align to the standards and competencies shown within this document. If programmes are not delivered in English, you should provide a translator during the 2 day visit
Step 12: Following the visit, the evaluator will complete an accreditation report which will either recommend that your training organisation is accredited or not yet accredited. The report is submitted for approval by the EHFA Audit Committee and a copy of the report will be sent to you within 21 days of the visit
Step 13: If the evaluator recommends that accreditation can be granted, a confirmation letter will be sent to you to confirm this, and your training organisation will be sent the relevant EHFA logos to use on certificates and on promotional materials. EHFA will place your training organisation’s contact details on the EHFA website as confirmation of your status as an EHFA accredited organisation
Step 14: If your training organisation is not yet accredited, an action plan will be provided that outlines the actions that are required before accreditation can be granted. The actions will identify whether additional evidence is required by EHFA. Any additional evidence that is required will be reviewed by the evaluator when it is submitted
Step 15: Once your training organisation is accredited, an annual monitoring visit will take place to ensure that you training organisation continues to adhere to EHFA criteria for accreditation. The monitoring visit will take place over 2 days and will be carried out by 1 evaluator. The fee for the visit is €900 per day, per evaluator, so the total fee for the visit is €1,800 plus travel and accommodation expenses
The average time for the whole accreditation process from initial application to confirmation of accreditation will take approximately 3 – 4 months, although this is dependant on the timetabling of your practical assessment dates.
The total cost of the accreditation process is €3,600 plus travel and accommodation expenses. The ongoing annual cost of accreditation monitoring is €1,800 plus travel and accommodation expenses. However, EHFA fees are based on economic zoning, so please refer to the EHFA Terms & Conditions, which includes the price list, as these fees may be subject to a discount depending on which country your training organisation is based in.
